NOCO Women’s Chamber of Commerce (NOCO WCC) Complaint Resolution Protocol
Effective Date: 04/01/2025
The NOCO Women’s Chamber of Commerce is committed to fostering a supportive, professional, and respectful environment for all members. To ensure fairness and integrity in addressing conflicts, the following protocol will be followed when handling complaints against members, Ambassadors, or Board Members.
1. Guiding Principles
Complaints must be based on firsthand knowledge and include the names of all involved parties. Anonymous complaints or hearsay will not be considered.
Whenever possible, members are encouraged to resolve conflicts directly with one another before escalating the matter to the Chamber board.
The Chamber reserves the right to take appropriate action, including revoking membership, if a member is found to be creating a disruptive or toxic environment.
2. Complaint Submission Process
Complaints must be submitted in writing to the NOCO WCC Board of Directors via email or a formal complaint form.
The complaint must include:
The names of all involved parties.
A detailed description of the issue, including specific incidents and dates.
Any supporting documentation or evidence.
Complaints lacking sufficient detail or involving unnamed individuals will not be reviewed.
3. Initial Resolution Attempt
Upon receiving a complaint, the Board will encourage the involved parties to attempt direct resolution through respectful communication.
If direct resolution is unsuccessful or inappropriate (e.g., in cases of harassment or serious misconduct), the Board will proceed with a formal review.
4. Formal Review Process
If the issue remains unresolved, the Board will:
Acknowledge Receipt: Confirm receipt of the complaint within five business days.
Conduct a Review: The Board (or a designated committee) will review the complaint, including speaking with the involved parties if necessary.
Make a Determination: The Board will assess the situation and decide on an appropriate course of action.
Communicate the Decision: The involved parties will be informed of the Board’s decision in writing.
5. Potential Outcomes
Resolution Between Members: If the issue is resolved amicably, no further action is needed.
Warning or Mediation: A formal warning may be issued, or mediation may be offered to help resolve the conflict.
Membership Revocation: If a member is found to be engaging in conduct that disrupts the Chamber, spreads misinformation, or fosters negativity within the organization, the Board reserves the right to revoke their membership.
6. Final Decision and Appeals
The Board’s decision will be final. However, a member may request reconsideration if new, substantial information arises within 14 days of the decision. By maintaining this structured and fair process, NOCO Women’s Chamber ensures that all members can focus on collaboration, support, and professional growth in a positive environment.
